Quote it, staff it, arm it, invoice it. Security company software for South Africa, built around the two things that decide whether a guarding company makes money: turning an enquiry into a staffed job, and getting vetted officers onto the roster fast enough to take the work.

Security operations dashboard showing active jobs, manpower deployed, contracted hours, compliance and the next seven days of deployments
Workflow one

An email at eight at night, an invoiced job by morning. Six steps on one record. Nothing is typed twice, and nothing is re-keyed between systems.

01It arrives in the inbox

Client mail lands in a shared inbox filtered to quoting, not in one person's Outlook. Every enquiry is visible to whoever might act on it, at whatever hour it turns up.

02Read into a structured request

Prose becomes fields: how many officers, armed or unarmed, which site, when it starts and how long it runs. It waits for a person to review, so nothing is priced off an automatic reading alone.

03Matched to a client, or one created

An existing client gets the request added to their record beside every previous job, quote and invoice. A new one is created from the enquiry itself. Either way nobody types a name twice.

04Priced off your rate sheet

Rates come from the sheet you uploaded and bring its rules with them. Here a minimum shift applies: eight hours were asked for, twelve are billed, and the reason is printed on the quote rather than remembered by whoever built it.

05Accepted, it becomes the invoice

One action, and the figures carry across untouched. The invoice cannot disagree with the quote because it was never typed again, and both stay attached to the job they belong to.

06Staffed, armed and tracked

Officers are appointed on the job itself, and only those available and holding the right grade are offered. Each carries their role and whether a weapon has been issued, so the armed gap shows while there is still time to fill it.

The platform

Everything the workflows touch. Roster, board, register, workspace.

Every officer with their registration, grade, certifications and current status, filterable in one pass.

Manpower roster showing officers by PSIRA grade with registration numbers, certifications and duty statusOperations calendar showing assignments across thirty days with contractor deployments, overrides and overlap countsFirearm register listing serial, make and model, calibre, status, licence expiry and current holderJob assignments showing each officer allocated with their grade, role and firearm statusContextual workspace ready to answer questions across the platform's data, with the record counts it reads
Workflow two

An application on Monday, an officer on the roster by month end. Guarding turns over, so recruitment is not an HR side task. It is the supply line for the roster.

01Scored against your criteria

Applications come through your own form with documents attached, and each is checked against your list. Meeting every criterion is the bar, and the score is visible before anyone opens the file.

Where officers actually are. Plotted, with readiness beside it.

Where work is sitting

Jobs by stage, so a pile-up at quoted or staffed shows as a shape rather than a surprise.

The screens on this page are the live platform, captured as it renders. The companies, people, sites and figures in them are generated for demonstration. No client of ours appears anywhere on this page.

What security operators usually ask.

It lands in the shared inbox and is read into a structured request straight away: how many officers, armed or unarmed, which site, when it starts and how long it runs. It then waits for a person to review and quote it. Nothing is sent to a client automatically.
No. If the enquiry comes from an existing client it joins their profile alongside every previous job, quote and invoice. If they are new, the client record is created from the enquiry itself.
Yes. You upload your rate sheet and quotes are built from it, including its rules. If a minimum shift applies, the quote bills the minimum and writes the reason on the quote rather than leaving it to whoever built it.
No. An accepted quote converts to an invoice in one action, carrying the same figures. The invoice cannot disagree with the quote because it was never typed twice, and both stay attached to the job.
On the job itself. You appoint the people the work requires, and only officers who are currently available and hold the grade the post needs are offered. Each shows their role, whether a firearm has been issued to them, and whether they are on site.
Every weapon carries its serial, make, calibre, licence expiry and current holder. Allocation is to a named officer against a named job, so the register answers who has what and which job it went out on. Expired licences are flagged on the row itself.
Applications come in through your form with documents and are scored against your criteria, so you see twelve out of twelve or six out of twelve before opening the file. You call the candidate in or reject them, and the correspondence goes out on its own.
Shooting range assessments are booked in batches. Approved candidates are grouped six at a time, and once a group is full you contact the range in one action. The range replies with dates, you pick one, and every candidate in that group is confirmed onto it automatically.
Results are recorded per candidate. Those who pass are promoted to manpower and can be put on a job the same day. Those who do not are marked and notified, and the outcome stays recorded against the group.
Yes. The workspace reads across jobs, contractors, quotes, firearms, invoices and compliance, plus any SOPs, contracts or policies you upload to the knowledge base. Which certifications lapse this month is a question rather than a report someone has to build.
