The challenge

AfricaStay is a tour operator with a South African and a UK arm. It sells holidays as packages, flights out of Johannesburg, transfers, lodges, hotels and beach stays combined into one price, to travellers directly and through travel agents. It competes on two things: the price of the package and how fast a quote comes back. A traveller who asks three operators for a Mauritius week books with the one that answers first with a real number.

Each enquiry meant a consultant looking up availability, checking the contracted rate, pricing the flights, adding transfers, applying the margin and typing it into a document. With enquiries arriving all day, the team never caught up: the day ended with around a thousand quotes still to be done, and the morning started behind. Enquiries went cold before they were answered. Capacity was capped by how many quotes a person could type, so growth meant hiring. The quote, the booking and the invoice lived in different places and were re-keyed between them.

Every hour a quote sat unfinished was an hour in which somebody else answered.

What we built

We did not rebuild the business. We took the one workflow that capped it and built it end to end on the platform: an enquiry arrives, a quote is assembled from live rates and contracted prices, it goes out, it is chased, and when the traveller says yes it becomes the booking and the invoice without anybody typing it again.

The consultants stayed. Their job changed from building quotes to checking them and talking to travellers, which is the part a person is for. Everything else, the lookups, the arithmetic, the document, the chasing, the re-keying into the invoice, moved into the system.

What changed

The thousand quotes that used to be the end-of-day backlog are now the first hour’s work. Reply times went from hours or the next day to near-instant, and conversion followed, because the fastest real number wins. AfricaStay puts the capacity gain at about 30% with the same team, the saving at around R100,000 a month in time and re-keying, and the revenue effect at 7.5% a year.

The less visible change is that the business now has one set of numbers. Quotes, bookings, invoices and margin are the same records seen from different sides, so the questions an owner asks in the morning, what went out yesterday, what converted, where the margin is, are answered by the system rather than by someone’s afternoon.

What it took

Quote-to-cash went in first, on its own, because it was the bottleneck and because a working system on one real problem is the fastest way to know whether the whole thing is worth doing. The reporting, the follow-up rhythm and the integrations came after, each one added because the last one had paid off. It has been running since 2025 and it is still being extended, which is the other thing this page is meant to show: a system built this way grows with the business instead of being replaced by the next one.
