If your business is registered for VAT, tick the VAT box. The document becomes a tax invoice, which must show the words “tax invoice”, your VAT number, and the VAT charged. Above R5 000, SARS also requires the buyer's name, address and VAT number on it.
Number invoices in sequence and never reuse a number. Put your banking details on the invoice and ask for the invoice number as the payment reference, so the money can be matched to the invoice when it lands.
Questions owners ask
- What must an invoice in South Africa show?
- Your business name and contact details, the client's name, an invoice number, the date, what was supplied, the amount, and how to pay. A VAT vendor's tax invoice must also say "tax invoice" and show the VAT numbers and the VAT charged.
- Can I charge VAT if I am not registered?
- No. Only a VAT vendor may charge VAT. Leave the VAT box unticked and the invoice will not show any.
- How do I save the invoice as a PDF?
- Press "Print or save as PDF" and choose "Save as PDF" as the printer. The page prints only the invoice.
