A quote that says how long it is valid protects you when material prices move. Thirty days is common; for steel, cable or fuel-heavy work a shorter validity is safer.
Describe the work the way the client will check it when it is done: what is included, what is not, and the quantity. Most disputes about an invoice start with a vague line on the quote.
Questions owners ask
- How do I write a quote for a job?
- List what you will supply as lines with a quantity and a price each, add VAT if you are registered, state the total, say how long the price holds and what the payment terms are. Then send it as a PDF, not as a message.
- What is the difference between a quote and an invoice?
- A quote is an offer before the work: what it will cost if the client accepts. An invoice asks for payment for work done or goods supplied.
- Should a quotation include VAT?
- Only if your business is registered for VAT. Show the amount excluding VAT, the VAT and the total, so the client sees both.
Work out the price first with the markup calculator. When the quote is accepted, the invoice generator turns it into an invoice. Quoting every day? See quoting on one system.
